Naming items

This guideline covers the naming of items in Synkka data pool. Product names are important for retailers, because the names used at shops are based on them. If you name your item incorrectly, it will affect the updating of product information, communication, shelf labels and product information search (for example, brand name).

Overview

You must name each base unit and case. Follow standard writing rules in the name; capitalise proper nouns but use the lowercase elsewhere. Note! Do not write the entire description IN CAPITAL LETTERS.

  • Product name is the name printed on the packaging.
  • Common name for the product, according to good trade practice:
    • Typically, this is found on the label.

If the item has no brand, use the supplier’s name as the brand name. If the brand name or the supplier’s name is abbreviated, it must always be abbreviated in the same way. The abbreviation cannot be only one letter:

  • No full stops after abbreviations;
  • Avoid unnecessary spaces;
  • For example weight c. 300 g -> c300g;
  • The overall aim is to make the information understandable.

Special scenarios

these must be included in the item description in data pool (for example, salad dressing 250ml/256g).

For canned food and such, provide both the net weight and the drained weight (for example, canned pineapple 250/153g).

If the weight is not relevant for the item, do not include it in the description, for example:

  • Specify the burning time of candles;
  • Specify the size of sole replacements.

Naming items in different languages

The name information for trade items is given in Finnish, Swedish and English. Common practices group has agreed upon a unified model used in Finnish names.

GDSN standard, in turn, defines the general international naming model. Synkka data pool is a GDSN standardized product database, and it means that it is possible to transfer item data from Synkka to other data pools. In order to be able to do this, the item information must be uniform. For this reason, the name information in English and Swedish must follow the naming rules of GDSN standard.

Finnish names are formed in accordance with the common practice in Finland. The Swedish and English names are formed in accordance with the GDSN instructions. If the data provider sends the product data via the Synkka data pool to other target markets, they should also take into account the possible target market specific instructions.
In this guide, the following symbols are used to describe the instructions in different languages:
FI: instructions on naming items in Finnish according to common local practice.
SV / EN: instruction on naming items in Swedish and English according to GDSN standard.

Different name attributes

Description Short (35 chars) F7132

Length limit 35 characters. This must be provided in Finnish, Swedish and English.

FI: Name of the product, which may be used eg. in forming the shelf label name. Size/quantity is expressed in full. A variant and common name are shortened if necessary. The essential brand (eg. Oivariini) is indicated.
The name is given in the form of brand /trade name size variant common name. All the components must be included in the name.

SV / EN:  A free form short length description of the trade item that can be used to identify the trade item at point of sale.

Trade Item Description F7130

Length limit 200 characters. Must be provided in Finnish, Swedish and English.

FI: A complete description of the trade item. Explain the abbreviations used in the short description (35 characters). You may include both the lower and higher level of the brand in the description (e.g. Valio Oivariini). The name is given in the form of brand /trade name size variant common name.

SV / EN: An understandable and useable description of a trade item using brand and other descriptors. This attribute is filled with as little abbreviation as possible while keeping to a reasonable length. This should be a meaningful description of the trade item with full spelling to facilitate message processing. Retailers can use this description as the base to fully understand the brand, flavour, scent etc. of the specific GTIN in order to accurately create a product description as needed for their internal systems. For example:

  • GS1 Brand Base Invisible Solid Deodorant AP Stick Spring Breeze
  • GS1 Brand Laundry Detergent Liquid Compact Regular Instant Stain 1
  • GS1 Brand Hair Colour Liquid Light to Medium Blonde.

Brand Name F7052

Length limit 70 characters.

FI: The brand name of the base unit and the case is always the same. The supplier specifies the brand. If the item has no brand, enter the name of the supplier in the brand name field. Only enter the brand name, not the size (e.g. Valio Oivariini).

SV / EN: The recognizable name used by a brand owner to uniquely identify a line of trade item or services. This is recognizable by the consumer.

Functional Name F7222

Length limit 35 characters.

FI: Enter the common name of your trade item, as per good trade practice. For example, yoghurt, glue, disposable plate. The functional name of an assortment is display shipper. And mixed cases are called mixed half-pallet, mixed pallet, mixed sales batch, etc.

SV / EN: Describes use of the product or service by the consumer. Should help clarify the product classification associated with the GTIN.

Variant Description F7328

FI / SV / EN: Free text field used to identify the variant of the product. Variants are the distinguishing characteristics that differentiate products with the same brand and size including such things as the particular flavor, fragrance, taste.

Naming base units

Naming items with variable sizes

Example on how to name an item with variable size in Finnish.

Include Brand/trade name, size, variant and common name in the name. All of these must be included in the name.

Description Short (35 chars) -> Enter the estimated weight
Gourmet n500g silakkafile
Description Short (200 chars) -> Enter the weight as a range
Synkka Gourmet 450-550g silakkafile

Bulk items

Example on how to name a bulk item in Finnish.

The name must contain Brand/trade name number of items in the sales batch x size variant common name + other bulk specifiers. If the sales batch contains products without GTIN codes, the name must specify the number of these. All of these must be included in the name.

Naming display shippers (consumer units) and mixed modules

Example on how to name display shippers and mixed modules in Finnish.

The name must contain Brand/trade name number of items x size assortment number of variants common name. All of these must be included in the name.

Description Short (35 chars): Fresh 3x200ml lajitshahoitssaip
Trade Item Description: SynkkaFresh 3x200ml lajitelmashampoo hoitoainesuihkusaippua
Brand Name: Synkka Fresh
Functional Name: Assortment.

Naming mixed modules

Contains at least two GTIN-coded base units. Please specify the number of items before the size.

The name must include the following information:

  • SEKL = sekalava (mixed pallet)
  • SEKPL = sekapuolilava (mixed half pallet)
  • SEKDSP = sekadisplay (mixed display)

The name must contain MIXxBrand/trade name number of items in the sales batch x size number of variants common name. All of these must be included in the name.

Description Short (35 chars): SEKPL Maukas 240x150g 4var keksi
Trade Item Description: SEKPL SynkkaMaukas 240x150g mansikka, vadelma, banaani, suklaa täytekeksi

Functional Name: Mixed half-pallet

Naming case level items

The names needed are Description Short (35 chars), Functional Name, Brand Name and Trade Item Description. Each case must have a name in Finnish, Swedish and English.

Follow the general rules on naming when giving a name for your item, for example, in the case of base units, the name is: Brand/trade name size variant common name. The Description Short (35 chars) of the example base unit: Maukas 150g kola täytekeksi

Sales batch, pallet

Packaging type, for example case/pallet.

Name the case as you named the base unit: Maukas 150g kola täytekeksi

Display (single-item)

The name must contain the word DSP = display.

Format of the name: DSP Maukas 150g colacake

In shop pallet, half-pallet (containing only one item)

Packaging type 800x600 mm pallet. The Finnish name must contain the word PL = puolilava (half-pallet).

Format of the name: PL Maukas 150g kola täytekeksi
Name format for quarter-pallets: VL Maukas 150g kola täytekeksi
Name format for half-pallets: PL Maukas 150g kola täytekeksi
Functional Name: Half-pallet, quarter-pallet, etc.

Factory package

The Finnish name must include the following information: TP = tehdaspakkaus.

Format of the name: TP Maukas 150g kola täytekeksi
Functional Name: factory package.
